Accounts receivable automation, in plain English
Accounts receivable automation means software does the repetitive admin of getting paid, so your team only handles the judgment calls. Here is what it covers, what you can automate today, and how to pick a tool.
What is accounts receivable automation?
Accounts receivable, or AR, is all the money customers owe you. The AR process is a loop: you issue an invoice, you wait, you remind the customer, they pay, and you match the payment back to the invoice. Automation takes the repetitive parts of that loop off people's plates. The goal is not to remove the human. It is to let one person approve the work instead of doing it.
Which parts can you actually automate?
What stays with a human
Good automation is honest about its limits. A person should still approve an invoice before it goes out, decide how to handle a dispute, and choose when to escalate a chronic non-payer. Roughly ninety percent of AR is repetitive; the last ten percent is judgment. Automate the ninety, keep the ten.
How to choose a tool
- Works with your system. It should read your existing accounting export, not force you to migrate your ledger.
- Sends from your own email. Reminders from your real address get read and get paid. A generic no-reply address gets ignored.
- You keep control of the money. Payments should land in your own account, not pass through the vendor.
- Your data stays yours. Read-only on your books, encrypted, exportable and deletable at any time.
- There is a free plan. You should be able to run the whole loop and see it work on your real data before paying anything.
